1.2 Automatically Collected Information

1.4 Files Submitted to Our Online Tools

We provide free and paid online tools — including our EPUB Validator, EPUB Fixer, and related publishing utilities. When you submit a file to one of these tools, we retain the file you upload and, where the tool produces one, the processed output file, together with related technical information such as the file name, file size, validation and repair results, your IP address, and your email address where you choose to provide one.

We retain this data to operate the tools, provide support, and test and improve the accuracy of our validation and repair technology. Retained files and their associated records are kept for up to 12 months and then automatically deleted, unless a longer period is needed to fulfil and support a paid order or is required by law. You may request earlier deletion of your files at any time — see "Your Rights and Choices" below.

1.5 Free Book Formatting Sample Chapters

If you request a free Book Formatting sample, we process the chapter you upload or a fixed copy of the Google Doc you share, along with your email address, selected formatting style, and the technical information needed to validate and fulfil the request. We use this material only to prepare, deliver, and support your sample, protect the service from abuse, and maintain an auditable fulfilment record.

The accepted chapter folder remains in active Google Drive storage for 30 calendar days from acceptance. We then move the folder to Google Drive trash, where it may remain recoverable for up to a further 30 days before permanent deletion.

A chapter you upload is also copied to our Dropbox, where our production team prepares your sample. That working copy is retained as part of our fulfilment record and is not covered by the 30-day Google Drive schedule above. If you share a Google Docs link instead of uploading a file, we record that link in our internal job system so the team can open your document; the link is retained with the job record rather than deleted on the same schedule.

You may request deletion of your chapter, your uploaded copy, or your shared link at any time by contacting us, subject to the short period needed to complete your request and any legal obligation that requires us to retain a limited record.

2. HOW WE USE YOUR INFORMATION

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process and fulfill your orders and requests
  • Communicate with you about your orders, services, and account
  • Send you marketing communications (with your consent)
  • Respond to your inquiries and provide customer support

We retain your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. When we no longer need your information, we will securely delete or anonymize it.

Files submitted to our online tools (see "Files Submitted to Our Online Tools" above) and their associated records are retained for up to 12 months before automatic deletion. Files relating to a paid service may be retained longer where needed to fulfil and support your order.

A chapter accepted for the free Book Formatting sample follows the separate 30-day active-storage and further 30-day provider-trash recovery period described in section 1.5. As explained in that section, the working copy held in our Dropbox and any Google Docs link you share are retained with the fulfilment record beyond that period until you ask us to delete them.

7. INTERNATIONAL DATA TRANSFERS

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. We ensure appropriate safeguards are in place to protect your information in accordance with this Privacy Policy and applicable laws.

8. CHILDREN'S PRIVACY

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately, and we will take steps to delete such information.

9. THIRD-PARTY LINKS

Our website may contain links to third-party websites or services. We are not responsible for the privacy practices or content of these third-party sites. We encourage you to review the privacy policies of any third-party sites you visit.
